Create and manage tasks

As a team member in the "User" role, your core function is to create tasks and mark their progress. Tasks can be created not only by you, but also by other team members.

After you have started the "Task scheduler", you will be directed to the start page, where all the teams you are a member of are displayed.

Click the team tile to create or edit a task for that team.

You will now be taken to the team board where all the tasks are displayed.

Tasks can be archived by a team member with the "Manager" role. You can view archived tasks by switching to the Archive view. To do this, click on the icon and select archive.

You can switch back to the board view by clicking on the icon again and selecting Board.

Below you will find detailed instructions on how to perform each activity related to tasks.

New task

Step-by-step guide

To create a task, proceed as follows:

  1. Click on the Team tile.

    The team board is displayed.

  2. Click TASK.

    The "Task" dialog box is displayed.

    Title

    Enter a (meaningful) title for the task.

    Status

    Select the desired status for the task.

    Processor

    Select the desired agent for the task.

    All team members with the role "User" are available for selection as agents.

    Description

    Enter a description for the task.

    Project

    (Optional) Assign the task to a project. To do so, click on the corresponding project.

    Files

    You can attach one or more files to the task.

  3. Click on SAVE.

    You will return to the team board.

    The task will be displayed in the status column previously selected.

Change the status of a task

By changing the status, you document the progress made in relation to the respective task.

By drag-and-drop

You can change the status of a task by dragging and dropping the task from one status to another.

By editing a task

You can change the status of a task by editing the task.

Step-by-step guide

  1. Click on the pencil icon (edit).

    The "Task" dialog box is displayed.

  2. Select the desired status in the "Status" selection field.

  3. Click on SAVE.

Enter comment for task

Step-by-step guide

To enter a comment for a task, proceed as follows:

  1. Click on the title (!) of a task for which you want to enter a comment.

    The dialog box for entering comments is displayed.

  2. Enter the comment.

  3. Click on (Save).

  4. Close the dialog box by clicking "X".

    You will return to the team board.

Delete comment

Step-by-step guide

To delete a comment, proceed as follows:

  1. Click on the title (!) of a task where you want to enter a comment.

    The dialog box with the comment is displayed.

  2. Click on the pencil icon (edit).

    The (Delete) icon is displayed.

  3. Click the (Delete) icon.

  4. Confirm the deletion process.

Archive task

You have the option of archiving tasks. These are no longer displayed on the team board afterwards, but in the archive.

Tasks are archived in relation to their status, i.e. you select a status and every task with this status is archived.

Step-by-step guide

To archive a task, proceed as follows:

  1. Click on the Team tile.

    The team board is displayed.

  2. Click on the icon (Options).

    The dialog box with the options is displayed.

  3. Click on Archive task.

    The "Archive Tasks" dialog box is displayed.

  4. Use the arrow buttons to move the displayed statuses from the left pane ("Select status") to the right pane ("Selected status").

    In the left pane ("Select status"), all statuses available in the team board are displayed.

  5. Click on SAVE.

    You will return to the team board. The archived tasks are no longer displayed.

Reactivate task

You have the option of reactivating archived tickets. After you reactivate tasks, they will be added back to the team board. They retain the status they had at the time of archival.

Step-by-step guide

To reactivate a task, proceed as follows:

  1. Click on the Team tile.

    The team board is displayed.

  2. Click on the icon (Options).

    The dialog box with the options is displayed.

  3. Click Archive.

    The archive page with the archived tasks is displayed.

  4. Click on REACTIVATE TASKS.

    A check box is displayed in front of the archived tasks.

  5. Select the check box for all the tasks you want to reactivate.

  6. Click on SAVE.

    The tasks which you had selected via the check box are no longer displayed.

  7. Click on the icon (Options).

  8. The dialog box with the options is displayed.

  9. Click Board.

    You will return to the team board. The reactivated tasks are displayed again.

Delete tasks

Step-by-step guide

To delete a task, proceed as follows:

  1. Click the pencil icon (edit) on a task.

    The "Task" dialog box is displayed.

  2. Click on DELETE.

  3. Confirm the deletion process.

    You will return to the team board.
