Writing a protocol, confirming a protocol

Write protocol

When the date of the meeting has been reached or is passed, the moderator can write a protocol for each TOP.

The Plan agenda button will no longer be available from this point on.

It is replaced by the Write protocol button.

Step-by-step guide

To write a protocol for an agenda item, proceed as follows:

  1. Go to the "Internal" page.

  2. Click the Write protocol button.

    The dialog for entering and editing TOPs is displayed.

  3. Click the pencil icon (edit) of the TOP for which you want to write a protocol.

    The "TOP protocol" dialog box is displayed.

  4. Write the protocol.

    Markdown editor The editor for entering the texts is a Markdown editor.

    Here are some key formatting tags:

    # Heading 1

    ## Heading 2

    ...

    ###### Heading 6

    The protocol can be released and confirmed only after you have written a text.

  5. Click on SAVE.

    You re taken back to the dialog for entering and editing TOPs.

    The RELEASE PROTOCOL button is active ().

  6. Click <BACK TO INTERNAL OVERVIEW ().

    You will be taken back to the "Internal" page.

Edit protocol

A protocol can still be edited only as long as not all participants have confirmed the protocol yet.

Step-by-step guide

To edit a protocol for an agenda item, proceed as follows:

  1. Go to the "Internal" page.

  2. Click the Write protocol button.

    The dialog for entering and editing TOPs is displayed.

  3. Click on the pencil icon (edit) of the TOP for which you want to edit a protocol.

    The "TOP protocol" dialog box is displayed.

  4. Make the desired changes or additions and save your entries.

Release protocol

Step-by-step guide

To release a protocol for an agenda item, proceed as follows:

  1. Go to the "Internal" page.

  2. Click the Write protocol button.

    The dialog for entering and editing TOPs is displayed.

  3. Click the RELEASE PROTOCOL button.

  4. Confirm the release of the protocol in the subsequent dialog.

    You re taken back to the dialog for entering and editing TOPs.

    The button for releasing the protocol is no longer displayed.

  5. Click <BACK TO INTERNAL OVERVIEW.

    You will be taken back to the "Internal" page.

    The CONFIRM button is displayed.

Confirm a protocol

All participants (but not guests) in a meeting must confirm the protocol to be able to set the meeting to "completed".

Click the CONFIRM button.

Then the text Confirmed is displayed.

The moderator can see how many confirmations there are.

As long as the CONFIRM button is displayed (also for the moderator), there are still confirmations pending.

After all participants have confirmed the protocol, the CONFIRM button is no longer displayed.

The Protocol button is displayed instead.
